NAPIS® Collection: Terrestrial Site Data-Entry
From the NAPIS main menu select Collection | Terrestrial Organisms | Site Data to open the 'Select Site ID' dialog. Pick a Site ID from the list and click 'OK'.
The Terrestrial Site Data form is used for documenting a Site where one or many Collections are made. A Site is defined by a visit to a latitude-longitude position on a specific date. If you visit the same geographic location on a different date, enter a new Site into NAPIS. This Site Data record is similar in look and feel to the Marine Organism Site Data record and the Microorganism Source Material Site Data record.
With the scroll buttons in the tool-bar, you can view the sequence of Site records.
The 'Collection' button in the tool-bar opens the Collection Data Record(s) that correspond to this Site.
The Date 'Set' button opens a calendar, where a date is selected using mouse clicks, not entered at the keyboard.
The Geographic Position 'Set' button opens a dialog that displays based on the latitude-longitude preference chosen in Utilities Setup.
The Region, Country, Entity and Locale geographic terms are defined using look-up tables whose values populate pull-down lists in the fields. Recording geography in this manner is consistent with methods used by the U.S. National Cancer Institute.
The Administration field pull-down list is for assigning a permit number or another administrative identifier for work performed at the site.
The Is Form Complete? radio-button is designed for overall records management, and selecting 'Yes' has system auditing consequences displayed on the Collection Data Record Control tab-form. You can query for all records that are complete or not complete to assess the work remaining on your database.
The Vicinity Map shows the collection site location. Single-click on the map for access to the NAPIS-GIS features.
The Habitat 'Set' button opens the Select Plant Habitat form, where you can select values from a pre-set list for each category. Recording habitat in this manner is consistent with methods used by the U.S. National Cancer Institute.
The Collectors 'Set' button opens the Set Site Collector form, where a Primary Collector and any Secondary Collectors can be entered. The names that appear are managed through Utilities Personnel.
The Temperature and Elevation number value fields are entered from the keyboard.
The Season and Aspect are defined using look-up tables whose values populate pull-down lists in the fields.
The Site Note field is for recording knowledge about the site. It is not searchable in the database, but may be used in reporting (for example, in a field on a Herbarium Label).
CREATE A NEW SITE RECORD
From the NAPIS main menu select Collection | Terrestrial Organisms | Site Data to open the 'Select Site ID' dialog shown below.
Click the 'New' button to open the 'Create New Site' dialog. In the example below, the numbering preference has been set to Custom, allowing you to type in any value. After you enter a unique ID and click 'OK', an empty Site Data form will open. You can also enter a new Site record by selecting Record | New Record from the menu-bar of an open Site Data form to open the same 'Create New Site' dialog.
